Terms and Conditions

The following Terms and Conditions are drawn to your attention.

General

  • SOITS, in consultation with you, will assist in determining your business requirements. We will subsequently document the details of what we will provide together with estimated time frames and costs. This document must be agreed and signed by all interested parties prior to works commencing (except for Casual Technical Support).

Correspondence 

  • E-mail is our preferred method of formal document exchange. Invoices, statements, billing notices and other notifications will be forwarded via e-mail, usually as a PDF attachment. Postal services are not provided;
  • Correspondence to SOITS that contains content for posting to your Website will be posted as supplied. SOITS is not responsible for correcting spelling or grammatical errors nor are we responsible for the accuracy of information - SOITS reserves the right to refuse posting text, images or code to your Website if we believe the content to be unlawful, inappropriate, malware or anything that we believe may place SOITS in a position of liability or compromise;
  • As e-mail is our main form of correspondence please note that e-mail is considered written confirmation on design sign-off, project commencement and approval to proceed on a project.

Payment

  • Our payment terms are 7 days from the invoice date. If SOITS commences work for you before payment has been received this work will not progress further until payment has been received and existing services, such as Website hosting, will be disabled;
  • Business Website Solutions require a minimum payment of 50% of the total fee (domain name registration, hosting plan and Website) with the remainder due at acceptance and handover. Failure to resolve the final instalment will result in your domain name registration and website hosting plan only - no website code will be installed to your hosting plan;
  • Client-server hardware must be purchased direct from the supplier, e.g. Dell, which may include a payment plan. SOITS will not enter into a repayment plan with a supplier on your behalf. To ease the complexity of hardware procurement SOITS can place the order on your behalf with the invoice for payment forwarded to you. Installation and configuration of your client-server network will be charged at the Casual Technical Support rate with a minimum charge of 5 hours. A detailed written estimate of the total work required will be produced and supplied during the establishment of your requirements;
  • All software and licensing from vendors including Microsoft, Trend Micro, Acronis and 2X may be purchased through SOITS. Payment must be confirmed prior to your order being processed; 
  • We accept cheque or paypal but prefer direct deposit. Bank details are available on the SOITS Website and on our invoice.

Ongoing Technical Support Plans

  • Ongoing Technical Support Plans may not be used for the initial installation and configuration of SOITS products. These plans are for ongoing support after the product has been accepted and handed over. For example, the installation and configuration of a client-server network is charged at the standard hourly rate. Following acceptance and handover an Ongoing Technical Support Plan may be purchased.

Casual Technical Support

  • Casual Technical Support is available to both new and existing clients. The fee for casual support is AU$90 per hour inclusive of GST. A minimum charge of 1 hour applies to all casual support with additional fees calculated at 15 minute increments;
  • A discount of 25% applies to the hourly rate for a client's first consultation;
  • Additional requirements added by the client while on-site may require a subsequent consultation;
  • SOITS will provide a detailed report (via e-mail) of works completed, the steps taken to resolve the fault, and recommendations that may provide your IT infrastructure with additional performance, reliability and security;
  • Where possible all resolved faults will be demonstrated to the client and acceptance by the client will indicate the support issue closed. Recurring faults may or may not incur further fees depending on whether the recurring fault was caused by local users; and
  • Client Referral Rewards. Existing clients who refer a new client to SOITS will receive a 25% discount on the hourly rate for their next consultation. The referred client must have completed their first consultation before the referring client can claim their discount.
